Retiro Trips by Retiro Travel LLC  – Small Group Tour Terms & Conditions

1. Booking & Payment

To secure your spot on a Retiro Trip, a 50% deposit is required at the time of booking. Final payment is due 60 days prior to the trip start date. Failure to make final payment on time may result in cancellation of your reservation without refund.

We accept payments via Zelle, Venmo, PayPal, credit card, check, or bank transfer. A non-refundable 3.5% processing fee applies to all credit card payments.

2. Cancellation & Refund Policy

Cancellations by Participant
- If you cancel 90 days or more before departure, your deposit will be fully refunded, minus any non-refundable processing fees.
- If you cancel between 89–60 days before departure, 50% of your total payment will be refunded (if already paid in full).
- If you cancel within 60 days of departure, your payment is non-refundable, but may be applied as a credit toward a future trip with Retiro Travel LLC (valid for 12 months).
- Deposits are non-refundable after the 90-day deadline unless the trip is cancelled by Retiro Travel LLC.

Transfer of Registration
You may transfer your reservation to another individual at no charge, provided the replacement traveler meets the requirements of the trip and completes the necessary registration and liability forms.

3. Cancellations by Retiro Travel LLC

We reserve the right to cancel a trip if the minimum number of 4 participants is not met. In such cases, you will be notified at least 30 days prior to departure and given the choice of:
- A full refund, or
- A credit toward a future Retiro Trip (valid for 12 months)

Retiro Travel LLC is not responsible for any additional costs you incur due to trip cancellation, including flights, accommodation outside the trip dates, or other personal expenses.

4. Travel Insurance (Required)

All travelers are required to carry comprehensive travel insurance that includes trip cancellation, medical coverage, and emergency evacuation. Proof of insurance must be submitted no later than 30 days prior to departure. We can assist with travel insurance policies through our licensed partner(s) upon request.

5. Tour Components & Third-Party Services

Retiro Travel LLC may coordinate certain services (e.g., lodging, guided tours, activities) either directly or through third-party suppliers. While we carefully vet our partners, we do not control third-party services and are not responsible for their actions, omissions, or changes to offerings.

6. Health, Safety & Eligibility

Participants must be in suitable physical and mental health for group travel. We reserve the right to decline participation if a traveler’s behavior, health, or requirements would negatively impact the trip experience for others or create a safety risk.

7. Assumption of Risk & Waiver of Liability

Travel involves inherent risks, including but not limited to: transportation delays, natural disasters, illness, and accidents. By participating in a Retiro Trip, you voluntarily assume all risks associated with travel and release Retiro Travel LLC, its employees, contractors, and representatives from any liability for personal injury, illness, death, property loss, or damages incurred during or as a result of participation in the trip.

A separate liability waiver will be provided and must be signed prior to travel. Participation is not permitted without a signed waiver.

8. Changes to Itinerary

We reserve the right to make reasonable changes to the itinerary, accommodation, or other trip components if deemed necessary due to weather, safety concerns, or availability. Any changes will be communicated as early as possible and will be made with the best interests of the group in mind.

9. Governing Law

These terms are governed by the laws of the State of Texas, and any disputes shall be resolved under Texas jurisdiction.
